The second tool I use is Google Drive.
Drive gives you a full suite of tools to run your coaching business.
You get Google Docs, Sheets, Forms, Slides… all in one place.
Everything is super user-friendly and easy to share with clients or collaborators.
And it’s free.
You might need to pay for extra storage but I only pay $2/mo for 30GB and it's more than enough for me.
You can access your Drive on both Windows and Mac, so if you’re at an event and get a random speaking opportunity like I have - you can pull up your
slides on any device.
But what I really love about Google Drive is how organized you can make it.
With the right folder system, your entire business can run like a well-oiled machine.
You can color-code folders, keep everything searchable, and stop wasting time digging through cluttered files.
Here’s how I like to use it:
I have a simple folder setup with the main parts of my business.
Think: Clients, Marketing, Enrollments, Outsourcing, Courses and Coaching.
Every client gets their own private folder that's shared directly with them, so all of our work stays in one place.
I name every file clearly so searching for what I need is fast and easy.
For example, if I type “Content” in the search bar, I’ll instantly see my main content folder plus any client content folders, each labeled with their name.
That way, I can jump in and out of projects fast without digging around.
I also keep reusable templates inside Google Drive for anything I do repeatedly.
Like if I’m speaking on podcasts or summits, they always ask for the same stuff: My bio, links, headshot, etc.
I have one doc with all of that ready to go so my VA or I can just copy/paste what they need and move on.
It’s one of the simplest tools I use, but it plays a massive role in helping me stay focused, organized, and efficient behind the scenes.
The third tool I use is Calendly.
I’ve tried other scheduling tools like Acuity, but I’ve always liked the look and feel of Calendly more.
It’s clean, intuitive, and super simple to use.
The automation features are great, too.
Calendly can automatically create a private Zoom meeting as soon as someone books so there’s no back-and-forth emails or me having to do it manually.
All I had to do was connect my Zoom account once and copy-paste a link when someone wants to book.
Here’s how I use Calendly in my business:
I’ve set up different “event types” for the key areas of my coaching business:
Each event is fully customizable.
You can set your work hours so people only book during your availability.
And you can even block off holidays, birthdays, travel days, your anniversary, and anything that’s off-limits for you.
To do that, just go to “Availability,” then click “Date-specific hours,” choose your blackout dates, and tell Calendly not to book anything.
This feature was a gamechanger for me.
I used to forget to block off time for travel or holidays and I’d end up rescheduling people.
Now Calendly handles it automatically in the background.
You can also add custom questions to your booking form so you’re never showing up to a meeting unprepared.
Whether it’s asking about their business, their goals, or any links you need ahead of time, etc. It helps you come in ready to serve.
Calendly saves me hours every month while also making my client experience feel smooth and professional.
